Challenge

We are all familiar with audits as a crucial component of organizational development and control. All audits that are conducted, whether they are done internally or externally, can have the workflow automated. As the audits are conducted repeatedly, the advantages of automation become more significant. Both the auditee and the auditor have the option of automating their audit workflows.

Making all audit-related tasks as simple as feasible includes employing templates, and notifications, creating requests and automatically filling in data that would otherwise need to be manually entered. Some difficulties include:

  • nconsistency in data entry, room for errors, miskeying information.
  • System is dependent on good individuals.
  • Time-consuming and costly to produce reports.
  • Lack of security.
  • Duplication of data entry
Solution

Given that we were aware of the client's needs, we recommended building an Audit Tracker App using Power Platform, particularly PowerApps. This could allow them to make the most of their existing Office 365 and SharePoint licenses. To increase the quality and efficiency of their work, they were required to combine Audit Statements and status from several data sources.

The Microsoft Power Platform, which also includes the business intelligence tool called Power Automate was created to assist our client to manage their audit operations better. This is where Microsoft Power Apps was offered as a potential remedy through status changes in the audit reports as well as automated mail alerts to the company head.

The client switched to a fully automated system from a manual system for audit statements and preparing sheets for collection, which resulted in significant time drains and problems with data quality. Power Apps employ little code, allowing for quick and simple capability addition should the need ever arise.

The new automated audit tool enables audit leads and action owners to operate much more quickly and productively than they previously could. Major advantages include:

  • A thorough summary of all actions, both ongoing and completed
  • Project assigning simplified and the expiry of project emails automated.
  • A daily, consistent Power BI report to track all actions and automatic notification flows to indicate due dates, status updates, issues, and more
  • Automated emails to the company head when the status of the form changes.
